Responsibilities and Duties (Targeted, but not limited to):
- Prepare forms and resumes for Florida Department of Transportation (FDOT) audit packets and compile in requested order. Prepare Automated Fee Proposals (AFP’s)
- Thoroughly review sub-consultant audit packets and AFP’s for accuracy and consistency. Contact sub-consultant for corrections or additional information as needed for audit packet and AFP
- Prepare Task Work Orders (TWO), Scope(s) of Services and Fee Sheets as required. Draft, edit and verify contracts and their amendments, updating associated schedules
- Prepare sub-consultant agreements and necessary back-up once contract is finalized
- Assist Controller/Accounting group with monthly invoicing, Project Cost Redistribution (PCR), progress report coordination and preparation. Maintain tracking worksheets as needed
- Setup new employees for the GEC Contract (Computer Security CBT training; Acceptable Use Agreement (AUA) and VPN Access Request Form). Compile all forms/certificates and send to FDOT Program Manager for submittal via AARF (Automated Access Request Form) System
- Request Certificate of Insurance (COI) for all projects for PGA and sub-consultants on our projects
- Ensure current COI’s have been received from all sub-consultants and request new COI once expired
- Other administrative duties as needed
Education and Experience (Required)
- College graduate preferred
- Previous administrative/contract support experience required (4+ years)
- Accounting experience preferred
Knowledge, Skills, and Abilities (Required)
- Reliable and consistently accurate
- Proficiency in MS Office and a wide variety of office support and administrative functions. Word/Excel expertise level is required
- Punctual with good organization skills and ability to perform multiple tasks in an organized manner at the direction of various people
- Excellent skills in the areas of numeracy, literacy, written and verbal communication
- Strong interpersonal skills with positive and friendly disposition
- Ability to deal with constant interruptions
- Ability to work in a fast-paced environment while maintaining high standards in all work efforts
- Ability to work independently and as part of a team
- Completes tasks in a thorough, accurate and timely manner meeting PGA standards with minimal errors within established supervisor’s expectations
